Role Overview:

We are seeking a meticulous and detail-oriented Billing Specialist to manage all aspects of the billing cycle. The ideal candidate will be responsible for ensuring timely and accurate invoicing, resolving billing discrepancies, and maintaining compliance with financial regulations. This role is critical to ensuring cash flow consistency and enhancing client satisfaction.

Key Responsibilities:

1. Billing and Invoicing Management

  • Generate, review, and send invoices to clients on a regular billing cycle.
  • Set up billing schedules for new and recurring customers using Subscript and other billing software.
  • Address billing-related inquiries or discrepancies in collaboration with the finance and client success teams.

2. Accounts Receivable and Collections

  • Monitor accounts receivable and follow up on outstanding payments to ensure timely collections.
  • Resolve payment issues and discrepancies efficiently, maintaining positive client relationships.
  • Prepare monthly billing and AR reports for senior leadership review.

3. Financial Systems and Compliance

  • Utilize tools such as Divvy, QuickBooks, and Mercury (transitioning to Bill.com) for managing accounts and expenses.
  • Ensure compliance with local, state, and federal financial regulations.
  • Maintain detailed and audit-ready records of all billing and collection activities.


Requirements
  • 3+ years of experience in billing, accounts receivable, or a similar finance role.
  • Strong knowledge of billing software (e.g., QuickBooks, Xero, or NetSuite) and SaaS billing platforms like Subscript.
  • Familiarity with Payroll system (Rippling)
  • Familiarity with financial regulations and compliance standards in the US.
  • Exceptional attention to detail, organizational, and communication skills.
  • Experience in a high-growth startup or consulting environment.
  • Familiarity with subscription-based billing models.
  • Advanced proficiency in Excel or Google Sheets for financial reporting.

Nice-to-Haves

  • Oversee offer letters and manage employee onboarding and offboarding processes.
  • Update the cash flow forecast on a weekly basis.
  • Revise and maintain the financial model monthly or as needed.
  • Administer equity awards and grants through Carta.
